Aruka Centre (“we”, “us”, “our”) is a private mental health and wellness practice based at 125 Haatso-Atomic Road, Accra, Ghana. We are registered with the Ghana Psychological Council (GPC) and operate in accordance with applicable Ghanaian law and professional ethics standards.

This Privacy Policy applies to information collected through our website at www.arukacentre.com, our online booking and payment system, and any communications you have with us by email, phone, or WhatsApp.

Information We Collect

We collect information you provide directly to us, including:

  • Your name, email address, and phone number when you make a booking or enquiry
  • Session preferences such as in-person or virtual, and preferred appointment times
  • Payment information processed through ExpressPay Ghana (we do not store card or mobile money details directly)
  • Communications you send us via email, WhatsApp, or our contact form

We also collect limited technical information automatically when you visit our website, including your browser type, approximate location (country/city level), and pages visited. This is used solely to understand how our site is used and to improve it.

How We Use Your Information

We use your personal information to:

  • Process your session booking and send you confirmation and scheduling details
  • Communicate with you about your appointment, including reminders and follow-up
  • Send post-session materials or resources where relevant and with your consent
  • Respond to enquiries and provide customer support
  • Improve our website and services based on aggregated, anonymised usage data
  • Comply with our legal and professional obligations

We do not use your information for unsolicited marketing and we do not sell your data to any third party.

Clinical Confidentiality

Everything shared within a therapy session is held in strict professional confidence. Our practitioners are bound by the ethical codes of their respective professional bodies, including the Ghana Psychological Association (GPA), the Ghana Psychological Council (GPC), and the British Association for Behavioural and Cognitive Psychotherapies (BABCP).

Confidentiality may only be broken in the following exceptional circumstances:

  • Where there is a serious and immediate risk of harm to you or another person
  • Where disclosure is required by a court order or applicable Ghanaian law
  • Where you have given explicit written consent for information to be shared

In any such situation, we will wherever possible discuss the matter with you before taking action.

Payment Processing

Online payments are processed securely through ExpressPay Ghana, a PCI-DSS compliant payment gateway. Aruka Centre does not store, access, or transmit your card number or mobile money PIN at any point. We retain a record of your transaction (name, email, session type, amount, and order reference) for accounting and session management purposes.

Cookies

Our website uses minimal cookies. We do not use advertising cookies or cross-site tracking. The cookies we use are:

  • Session cookies that allow the booking form to function correctly — these are deleted when you close your browser
  • Analytics cookies from Google Analytics, used in anonymised form to understand site traffic — you may opt out via your browser settings

Sharing Your Information

We do not sell, rent, or trade your personal information. We may share limited information with the following trusted third parties solely to provide our services:

  • ExpressPay Ghana — to process your payment
  • Calendly — to manage session scheduling after payment
  • Brevo (Sendinblue) — to send booking confirmation emails
  • Google Workspace — for internal communication and calendar management

Each of these providers operates under their own privacy policy and data protection standards. We do not authorise them to use your information for any purpose other than providing the service to us.

Your Rights

You have the right to:

  • Request a copy of the personal information we hold about you
  • Ask us to correct inaccurate information
  • Request that we delete your information, subject to our legal and professional obligations
  • Withdraw consent for any non-essential communication at any time

Data Retention

We retain client records for a minimum of 7 years following the end of a therapeutic relationship, in line with professional guidance and Ghanaian law. Payment transaction records are retained for 7 years for accounting purposes. Website enquiry data is retained for 2 years unless you ask us to remove it sooner.
